The Lahn-Dill Clinics are a municipal hospital company in the Lahn-Dill district. The company consists of 25 specialized clinics and several interdisciplinary facilities. Around 40,000 inpatients are treated annually at the Braunfels, Dillenburg, and Wetzlar locations. A total of 915 beds and approximately 2,300 employees make the Lahn-Dill Clinics one of the largest hospital networks in Hesse.
With the introduction of a company-wide, uniform ID card issuing system, the Lahn-Dill Clinics faced the challenge of creating a new ID card center. This ID card center was to be used both for the production of contactless RFID ID cards and to provide an interface to other internal systems. The requirement for the card design was to develop a layout that could be used for all functional areas while simultaneously distinguishing them.

The Future System
The newly introduced, highly secure employee ID cards will offer a variety of functions in addition to being used as visual IDs for employee identification. For example, applications such as personalized laundry distribution and cashless payment in the cafeteria can be implemented.
Even in the early stages of the project, it became clear that a flexible system solution would best meet the requirements of the Lahn-Dill Clinics. Therefore, together with the project managers from YouCard, an ID card creation system was developed that consists of the components card printer, RFID cards, interface and coding software, and suitable accessories.
Modern encryption mechanisms protect the ID cards from tampering attempts and data theft – a security aspect that is particularly important in hospital environments, given the daily handling of sensitive personal data.
The flexibility of the system allows for future modular adaptation of other systems, such as single sign-on. This allows an employee to access all computers and services for which they are authorized after a one-time authentication. Logging into each individual system is no longer necessary. If the user changes workstation, the initial authentication is transferred, eliminating the need for a second login.
Project Requirements
The first fundamental requirement was to find a solution to connect the hospital’s internal HR system to the ID card center. Since there was no central system database, but rather several independent data sources, the challenge was to combine and effectively catalog the data sources.
In addition, the 4,000 final RFID ID cards were to have different layouts depending on the employee’s location and position. For employee photos that did not yet exist, a way had to be created on demand and transmitted to the card printing system.
After the ID card was printed and encoded, its identification feature (UID) was to be transferred back to the HR system to ensure unique assignment. At the same time, the data is automatically forwarded to the time recording system.

The Solution
As a solution, YouCard developed an ID card station consisting of the HID FARGO HDP5000 card printer with an integrated HID Omnikey card reader. A camera enables employee photos to be taken and is directly connected to the printing system. ID cards are created using the customized software solution YouChip, which also serves as an interface tool for other connected systems. The software combines print and encoding data via a central Excel file, which retrieves information from relevant data sources via SQL commands.
With an integrated card design program, ID card layouts can be created quickly and easily. The additional RFID encoding module handles the encoding of the ID cards. YouChip initiates communication between external databases and the chip cards to be personalized – as a customized stand-alone solution with flexible expansion options.
The Lahn-Dill Clinics are already convinced and satisfied with the new ID solution shortly after its implementation. A key criterion here is the system’s mobility. Changing requirements for the ID card center and employee ID management can be implemented in the future without having to change the implemented system. YouChip modules can be expanded and individually programmed as required.
